FAQ OneDrive

FAQ OneDrive - PL

Dotychczasowe dane pozostają dostępne do przeglądania i pobierania.

Przekroczenie limitu przestrzeni OneDrive nie wpływa na działanie poczty Exchange Online – możliwość wysyłania i odbierania wiadomości pozostaje bez zmian.

W takiej sytuacji można:

  • uporządkować zawartość, tj. usunąć zbędne pliki, opróżnić kosz pierwszego i drugiego poziomu, a dane przeznaczone do zachowania przenieść na własny nośnik,

Korzystanie z przestrzeni dodatkowej w kolejnym semestrze wymaga złożenia nowego wniosku w kolejnym naborze. Posiadanie przestrzeni dodatkowej w poprzednim semestrze nie daje pierwszeństwa.

Uprawnieni

Wniosek mogą złożyć studenci i doktoranci Politechniki Warszawskiej posiadający aktywne konto uczelniane.

Progi

Wnioski studentów rozpatruje Samorząd Studentów, a wnioski doktorantów Rada Doktorantów.

Reklamacje przyjmuje Service Desk: 5999@pw.edu.pl.

Utrata statusu i usuwanie danych

FAQ OneDrive - EN

From 1 October 2026, the basic OneDrive storage limit for student accounts is 5 GB, while the basic limit for doctoral student accounts is 50 GB.

The basic storage limit is assigned automatically and does not require an application.

The basic limit applies for as long as the user has an active student or doctoral student status.

Users who need more storage for their studies or research activities may apply for additional storage, up to a total maximum of 100 GB, granted for one semester.

Checking storage usage

Information about used storage is available after signing in to OneDrive in a web browser, at the bottom of the left-hand panel.

Files stored in both the first-stage and second-stage recycle bins also count towards the storage usage.

Exceeding the storage limit / Expiry of additional storage

When the applicable storage limit is exceeded, OneDrive switches to read-only mode.

It is then no longer possible to upload new files or edit existing files.

Existing data remains available for viewing and downloading.

Exceeding the OneDrive storage limit does not affect Exchange Online email services – users can continue to send and receive email as usual.

In this situation, the user can:

  • clean up the storage by deleting unnecessary files, emptying the first-stage and second-stage recycle bins, and moving data that needs to be retained to personal storage,
  • apply for additional storage, provided that the eligibility requirements are met.

Full file upload and editing functionality will be restored once storage usage is reduced below the applicable limit or the storage limit is increased accordingly.

Submitting an application does not change the current storage limit until a decision has been issued.

Additional storage is granted for one semester and expires at the end of the period specified in the decision.

After the additional storage allocation expires, the limit returns to the basic limit applicable to the user's current status.

Using additional storage in the following semester requires submitting a new application during the next application period. Having additional storage in the previous semester does not give priority.

Eligibility

Applications may be submitted by students and doctoral students of Warsaw University of Technology who have an active university account.

Staff members, guests and alumni are not eligible to apply.

Storage tiers

For students, the available storage tiers are: 10 GB, 20 GB, 50 GB, 80 GB or 100 GB.

The selected tier represents the total storage limit. For example, selecting the 20 GB tier results in a total limit of 20 GB, not 5 GB plus 20 GB.

For doctoral students, the basic storage limit is 50 GB. Doctoral students who require additional storage may apply for an increase to either 80 GB or 100 GB.

Applications for a storage tier higher than the basic limit (5 GB for students and 50 GB for doctoral students) require a substantive justification related to studies, research or scientific activities and are subject to additional review.

How to apply

  1. Open the form: OneDrive storage application form – Fill out form. If prompted to sign in, use the university account.
  2. Enter the student ID number, faculty, field of study, degree level and year of study.
  3. Select the requested storage tier.
  4. Enter a justification (maximum 1,500 characters), specifying the purpose of the storage, such as a project, thesis or research data, and explaining why the selected tier is appropriate.
  5. Accept the declaration confirming that the regulations have been read.
  6. Submit the form.

After the form is submitted, an email is sent to the university email address confirming that the application has been accepted or explaining why it was not accepted.

A new application cannot be submitted while a previous application is awaiting a decision.

Applications are accepted and reviewed individually.

The time required to issue a decision cannot be specified.

Review of applications

Applications submitted by students are reviewed by the Student Government, while applications submitted by doctoral students are reviewed by the Doctoral Students' Council.

The time at which a complete application is registered is taken into account, but it is not the only criterion.

Other factors may also be considered, including the justification provided, the specific nature of the faculty or field of study, and the nature of the research being conducted.

Submitting an application does not guarantee that additional storage will be granted. The number of increased storage allocations depends on the available storage pool.

Decision

The decision is sent by email to the university email address.

A positive decision specifies the granted storage limit and the period for which it is valid. A negative decision includes the reason for rejection.

If the negative decision allows a new application to be submitted, a corrected application may be submitted during the current application period.

A complaint may be submitted within 7 days from the announcement of the results, but only in cases involving a system malfunction or a result that does not correspond to the actual situation.

Complaints are handled by the Service Desk: 5999@pw.edu.pl.

Loss of status and data deletion

OneDrive storage allocation is not permanent.

The basic storage limit is linked to the user's active student or doctoral student status, while additional storage is granted only for the period specified in the decision.

If a student completes their studies, or a doctoral student completes education at the Doctoral School, resigns or is removed from the list of students or doctoral students, entitlement to both the basic storage limit and additional storage expires.

The account is then subject to the rules applicable to users without active status, including a OneDrive storage limit of up to 1 GB.

After active status is lost, the data retention period depends on the account type: students – 90 days, doctoral students – 360 days.

After the applicable retention period expires, the contents of OneDrive and SharePoint Personal are permanently deleted.

This also applies to files shared with other users if the files originate from the OneDrive of the person who has lost their status.

Before losing active status, users should download or move all data that needs to be retained.

Information about an upcoming licence change and storage restriction is provided before the status change in accordance with the applicable process.

Retaining an alumni account or continued access to email does not mean that existing OneDrive data will be retained.
